Certificates employers and admissions offices can check without writing to you

Every year your registry answers the same question again and again — is this certificate real? Give each one a unique ID and QR code that opens your own record, and the answer takes seconds.

The problem

Verification requests pile up

Employers, other universities and background-check firms email or call to confirm a degree or course. Each request means finding the record, checking it and writing back.

Edited PDFs are hard to spot

A scanned or PDF certificate can be changed in minutes. Without a live record, nobody can tell a real one from an edited copy.

Many departments, one standard

Faculties, extension programmes and short courses each make certificates their own way, with no shared record of what was issued.

How it works

  1. Upload your existing certificate design for each programme and place the fields, including roll number or grade as extra columns.

  2. Department staff log in with their own issuer accounts and upload a spreadsheet of graduates or participants.

  3. Every row is checked before anything is issued, then each graduate is emailed a PDF, a JPG and an "Add to LinkedIn" button.

  4. Employers and admissions offices scan the QR code and see the name, programme, dates and your university as the issuer.

Built for the volume of a university

A convocation or a semester of short courses can mean thousands of certificates at once. eCert.Digital issues a whole batch from one spreadsheet and lists any mistakes in plain words — a missing email ending, a name left blank, a date written the wrong way round — before a single certificate goes out. On Pro, 10,000 certificates a year are included, and larger universities can ask for a custom plan.

Your institution stays the issuer

The verify page says “Issued by” and your university’s name, not ours. Once your institution is verified, the page also shows a “Verified institute” mark. The record behind each QR code is the one you issued, so a changed name or date on a copy is visible to anyone who checks.

Connect it to the systems you already run

If certificates should be issued when results are published, use the REST API and signed webhooks from your student information system or LMS. On Pro, every certificate can also be exported as an Open Badges 3.0 file for platforms that accept them.

Questions

Each department's staff get their own logins under one account, as admins, issuers or viewers. Every issue, edit and revocation is recorded in the activity log, so the registry can see who issued what.
